About the job The Africa Medical MCO (Multi-Country Organization) team is a dynamic, cross-functional team dedicated to advancing science-based medicine across the continent. As part of the Medical Affairs function, we work at the intersection of science and patient care — partnering with healthcare professionals, internal stakeholders, and external partners to ensure that medical knowledge drives meaningful impact across diverse and underserved populations throughout Africa.
The Medical Team Coordinator plays a central role in enabling the Africa Medical MCO team to operate with excellence. This role is responsible for coordinating and supporting the team's activities, ensuring efficient communication, project management, and administrative support across the organization. The Medical Team Coordinator also provides comprehensive coordination support to the Head of Medical Africa and the Egypt Country Medical Lead, serving as a key enabler of medical governance, cross-functional collaboration, and operational efficiency.
Responsibilities and Tasks:
• Coordinate medical team activities, meetings, and communications across the Africa MCO
• Create and maintain comprehensive project documentation, including project charters, plans, status reports, and post-implementation reviews
• Develop and maintain dashboards to provide real-time visibility into project status and outcomes
• Organize and maintain medical team calendars, schedules, and priorities, including travel itineraries, meetings, and ad hoc events, with all necessary logistics arrangements
• Serve as the focal point for medical governance, including coordination of Medical Council meetings, alignment meetings, and related governance forums
• Prepare meeting agendas and take accurate minutes to capture key discussions and action points
• Maintain office records in a confidential and organized manner to ensure easy retrieval
• Maintain the physical arrangements of the medical working area and storage room in an organized manner
• Collaborate across business units (Pharma and Vaccines) as the allocated Medical Coordinator
• Establish and support effective collaboration frameworks between Medical Affairs and other functions (Commercial, Market Access, Regulatory, etc.) to ensure alignment and integrated execution
• Foster transversal ways of working across a cross-functional environment, demonstrating effective communication, teamwork, and proactivity
• Record and track all payment requests and ensure compliance with company policies and procedures at all times
• Abide by the requirements of the internal Code of Ethics, maintaining high professional standards of conduct in line with company procedures and a duty of care to the company's reputation
• Take personal accountability to maintain knowledge and understanding of all ethics and governance relevant to the role; demonstrate personal leadership in applying these to all work undertaken and escalate when guidance is needed
• Care for personal safety and wellbeing and contribute to a safe working environment; support and conform to company safety rules and procedures
• Report any accident, incident, or near miss and assist in investigations to help prevent recurrence; read and comply with all safety documentation issued by the company
About you Education: Bachelor's degree, preferably in a healthcare or related field. Related Experience:
• Demonstrated experience coordinating cross-functional projects or transformation initiatives
• Familiarity with Medical Affairs operations and the pharmaceutical industry landscape
• Strong communication and stakeholder management skills, with the ability to engage effectively across all levels
• Excellent time management and organizational skills, with a proven ability to manage multiple priorities simultaneously
• Comfortable working in a matrix environment, with a proactive and solutions-oriented mindset
• High level of discretion, confidentiality, and professional conduct
