Pharmaceutical Sciences was established in January 2016 and is now a team of 400 people across four sites (Gothenburg, Macclesfield, Cambridge, Boston), bringing a broad set of specialist skills and cutting-edge science to influence the design of new molecules and early clinical trials.
We are now looking for a skilled PA to join us in Pharmaceutical Sciences. This role will be based at our R&D site in Gothenburg, Sweden. With more than 3,000 employees from over 70 countries, our vibrant Gothenburg site is a truly inspiring place to work. This is an exciting temporary opportunity with an anticipated start date as soon as possible and running until 31 December 2027.
The role You will provide high-quality administrative support to Senior Managers, while also offering broader departmental support to managers and colleagues across the function. You will play an important role in enabling smooth day-to-day operations, supporting effective collaboration and helping the team work efficiently across sites and time zones.
Typical responsibilities
• Provide PA support to two or more Pharmaceutical Sciences senior leaders, including complex calendar management, scheduling and co-ordinating virtual and face-to-face meetings, prioritising calendar conflicts and coordinating across multiple international time zones.
• Arrange domestic and international travel, including multi-location itineraries, and manage accurate and timely expense reporting.
• Manage purchasing and invoicing activities, including vendor creation, raising purchase orders in Coupa and tracking payments through to completion.
• Maintain and develop expertise in relevant IT, travel booking and communication systems, and coach colleagues where appropriate.
• Coordinate candidate interviews and support onboarding activities for new hires.
• Manage the MYTIME compliance follow-up process, ensuring timely coordination and completion of required actions.
• Support RBU processes, providing administrative coordination and assistance as needed.
• Support and track PhSci collaborations/grants, helping to set up PO’s, manage spend and communication with internal and external stakeholders.
• Lead or contribute to special projects and take on other duties as required.
• Set up and maintain Microsoft Teams folders and file structures for new projects, ensuring clear organisation, appropriate access permissions and effective collaboration from project initiation.
Essential skills and experience
• Openness to AI adoption and willingness to use AI tools to improve efficiency, collaboration and ways of working.
• Excellent organisational skills, with the ability to manage multiple projects and tasks simultaneously, identify priorities and ensure work is completed accurately and on time.
• Ability to provide a high-quality, professional support service and work independently with limited day-to-day direction.
• Strong relationship-building skills, with the ability to establish and maintain professional networks across administrative teams and cross-functional groups.
• A flexible and collaborative approach, working with other administrators in Pharmaceutical Sciences to share tasks and balance workload across the team.
• A proactive mindset, with the confidence to challenge the status quo, look beyond the immediate role and identify opportunities to improve ways of working.
• Experience handling sensitive information confidentially and with discretion.
• Excellent written and verbal communication skills in both English and Swedish.
