Oncology Operations Coordinator – 12 month contract

Accountabilities:

• Operational Excellence: Maintain and support the master operating calendar, financial calendar, and core business planning rhythms to drive visibility, alignment, and timely delivery across the organization.

• Meeting Planning and Execution: Plan and execute key meetings and events, including OBEX (Operational Business Excellence) Connex, socials, offsites, country visits, townhalls, National Oncology Meeting (NOM) planning, and ad hoc priorities; manage agendas, logistics, materials, and follow-through on actions for high-quality outcomes.

• Business Continuity and Documentation: Support updates to the Business Continuity Plan; maintain the OBEX and OBU onboarding guide; manage distribution lists; and develop and maintain clear SOPs for Business Planning & Operations processes to sustain readiness and consistency.

• Process Simplification and Sustainability: Identify opportunities to simplify processes and improve ways of working; support implementation of sustainability initiatives, including carbon management activities; and explore AI-enabled approaches to streamline work and optimize impact.

• OBU Engagement and Development: Build and maintain an annual calendar of engagement events for the OBU and OBEX team; lead planning and execution of activities; and contribute to field planning needs to strengthen connectivity and momentum.

• Upskilling and Team Development: Coordinate the OBEX upskilling and development plan by organizing learning activities, tracking priorities, and enabling strong participation and uptake.

• Awards Management: Coordinate global, regional, and local awards processes, including timelines, submissions, stakeholder follow-up, and recognition-related communications to celebrate and amplify impact.

• Stakeholder Coordination: Serve as a dependable point of coordination across functions, ensuring information flow, timely decisions, and clarity on next steps so teams can act with speed and confidence.

Essential Skills/Experience:

• Undergraduate degree in science, business, business administration, health sciences, or a related field; equivalent relevant work experience may also be considered.

• Strong organizational and multitasking skills, with the ability to manage multiple priorities, timelines, calendars, and stakeholders simultaneously.

• Demonstrated project coordination or project management capability, including planning, tracking, follow-up, documentation, and execution against deadlines.

• Excellent written and verbal communication skills, with the ability to prepare clear materials, coordinate stakeholders, and support effective meeting execution.

• Experience supporting meeting, event, or conference planning, including agenda development, logistics coordination, materials management, and follow-through on action items.

• Strong attention to detail and commitment to quality, particularly in maintaining calendars, SOPs, onboarding resources, business continuity documentation, and distribution lists.

• Ability to work cross-functionally and build effective relationships across teams, functions, and stakeholder groups.

• Process improvement mindset, with interest in simplifying ways of working, co-creating SOPs, and identifying opportunities to improve operational efficiency.

• Comfort working with digital tools and collaboration platforms such as Microsoft 365, Teams, SharePoint, PowerPoint, Excel, and project management tools as needed.

• Professional, proactive, and service-oriented approach, with the ability to anticipate needs, solve problems, and support a high-performing team environment.

Desirable Skills/Experience:

• Interest in applying evolving technology, automation, or AI-enabled tools to improve business execution and operational effectiveness.

• Knowledge of or interest in oncology, pharmaceuticals, healthcare, or regulated business environments.

• Exposure to sustainability initiatives, including carbon management activities

The range provided in this posting represents an offer pay range used in a majority of situations. The base pay offered will vary depending on multiple individualized factors, including the candidate's skills and experience, job-related knowledge, and other specific business and organizational needs. In some cases, offers outside the range may also be considered to address unique circumstances.

In addition, our permanent positions offer an annual Variable Pay Bonus/Short Term Incentive opportunity as well as eligibility to participate in our equity-based long-term incentive program (if applicable to role).
