The Position The GCS PMO Intern will play an essential role in ensuring the smooth daily execution of project governance, launch coordination, and data maintenance within Global Customer Support. A core focus of this 12-month assignment is serving as the primary system operator and central contact point for our new centralized Airtable solution. By handling transactional and foundational tasks, building interface views, and maintaining data transparency, the intern will keep international strategy program teams synchronized and informed.

Main Tasks and Responsibilities 1. Central Airtable Operations & Program Support

• Act as the primary operational contact and administrator for the centralized Airtable solution across all strategy programs.

• Maintain and continuously evolve the Airtable architecture, schemas, and fields to match changing program requirements.

• Build and optimize customized user interfaces and dashboards within Airtable tailored to the specific operational needs of different program teams.

• Ensure data consistency and integrity within Airtable so that information seamlessly feeds into broader portfolio dashboards.

2. Project Governance & Tracker Maintenance

• Update project trackers as needed, including keeping One-Pagers current for strategic initiatives.

• Monitor adherence to established governance frameworks (e.g., SPF) across the project landscape.

• Maintain internal documentation and historical project data to ensure records remain accurate and accessible.

• Support platform training sessions (Airtable, Orion, SPF), helping to guide and consult platform users.

3. Portfolio Data Analysis & Quality Control

• Maintain data source information, such as updating project info in Orion and proactively adding new initiatives to the launch radar.

• Monitor data quality and integrity across the PMO tool ecosystem to support accurate leadership reporting.

• Track and manage the PMO backlog to optimize ongoing tasks, routine activities, and team workflows.

4. Product & Project Launch Support

• Prepare One-Pagers and other necessary project templates to facilitate smooth service launches.

• Follow up with project teams to ensure launch criteria, deliverables, and timelines are proactively met.

5. Process Optimization

• Permanently optimize processes within the immediate scope of work to increase overall data quality and operational efficiency.

• Assess existing workflows optimization through AI and support the team with implementation.

• Support the wider PMO team with routine administrative workflows and ad-hoc reporting tasks as needed.

Required Core Competencies & Skills

• Education: Candidates must hold a University Degree or Master's Degree in Business Administration, Business Economics, Business Informatics, Information Technology, Data Science, or a related field, obtained within the timeframe established by Spanish legislation to be eligible for a "Contrato Formativo para la Obtención de la Práctica Profesional".

• Airtable Expertise: Strong hands-on proficiency or high aptitude for Airtable (building bases, configuring automation rules, designing interfaces, and managing relational databases).

• Technical Aptitude: Strong digital literacy; quick to learn and comfortable navigating project management tools, databases, and collaboration spaces (e.g., Jira, Monday.com, Orion, Google Workspace).

• Working Style: Highly structured, detail-oriented, and reliable approach to data handling and routine task tracking.

• Communication Capabilities: Good interpersonal and communication skills to serve as a central contact point, collaborate with international team members, and follow up on project tasks.

• Language: Fluency in English (written and spoken) is required, as this role operates in an international matrix environment.
