POSITION OVERVIEW:

Reporting to the Director, Finance Operations, the Senior Manager, Payroll and Equity will be responsible for the accurate, timely and compliant processing for all payroll and equity cycles, including semi-monthly payrolls, special/off-cycle payrolls, equity grants, RSU vesting, ESPP purchases and stock option exercises, as well as annual processes such as bonus payments and year-end reporting. This role requires excellence in operational execution and strong communication skills. The successful candidate has strong analytical and problem-solving skills, strong attention to detail, and is able to manage multiple workflows, partnering closely with HR, Finance, Legal, and external auditors and consultants.

RESPONSIBILITIES:

Principal Payroll Responsibilities:

• Process and validate semi-monthly payrolls in ADP Workforce Now, ensuring accuracy, timeliness and SOX-compliant documentation

• Support payroll processing related to equity compensation including RSU vesting, option exercises, and employee stock purchase plan (ESPP) transactions

• Collaborate with HR to ensure the smooth execution of onboarding, offboarding and overall maintenance of employee compensation

• Maintain payroll system accuracy, including earnings codes, deductions, tax configurations, and pay rules

• Partner with ADP and other service providers to ensure accurate year-end processing and W-2 reporting; 401(k), payroll tax, and other payroll-related audits and compliance activities

• Manage 401k uploads

• Ensure compliance with federal, state and local laws and regulations as well as company policies and procedures. Review payroll and tax changes and provide recommendations to management to ensure company compliance

• Manage multi-state processing and reporting, including state tax registrations, withholding accounts, and unemployment accounts

• Perform monthly payroll reconciliations, payroll journal entries, bonus accruals and resolve any payroll discrepancies in a timely manner

• Generate and analyze payroll reports using ADP Workforce Now to support Finance, HR, and audit requirements

• Process Concur expense report

• Provide clear, prompt, professional and accurate communication to employees regarding payroll and equity questions

Principal Equity Responsibilities:

• Manage day-to-day responsibilities in the Shareworks equity system

• Manage and review automatic feeds from ADP to Shareworks for demographic and tax information updates

• Oversee and process quarterly RSU vesting

• Monitor for employee elected changes to ESPP program to be recorded in payroll

• Upload new stock grants on a monthly basis

• Oversee semi-annual ESPP open enrollment window as well as ESPP purchases

• Prepare annual Form 3921/3922 submissions

• Support accounting with various reporting needs as required

• Prepare documentation in accordance with Company’s internal SOX controls as well as support requests related to both internal and external audit testing around stock compensation activity

REQUIREMENTS:

• Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or related field

• 7-10+ years of hands-on multi-state payroll processing experience, ideally in high-growth environments

• Experience processing payroll within ADP Workforce Now

• 2+ years of equity administration experience supporting stock option and RSU programs

• Proficiency in Microsoft Excel, including Pivot Tables, XLOOKUP/VLOOKUP, data analysis, reconciliations, and reporting; strong working knowledge of Microsoft Office applications, including Word, PowerPoint, and Outlook

• Excellent analytical, organizational, communication, and problem-solving skills, with strong attention to detail

• Demonstrated ability to manage multiple concurrent deadlines with accuracy; strong sense of ownership, accountability and follow through

• Demonstrated ability to handle highly confidential information with discretion and maintain the highest professional and ethical standards in a fast-paced, cross-functional environment.

• Ability to work both independently and collaboratively in a high-growth, fast-paced environment

• Experience managing complex tax scenarios

• Experience supporting SOX, financial and compliance audits, and 401(k) plans

Preferred Requirements

• Experience with Shareworks and NetSuite.

• Experience in the biotechnology, pharmaceutical, or life sciences industry.

• Certified Payroll Professional (CPP) and/or Certified Equity Professional (CEP) designation.

The annual base salary range for this position is listed below. Actual pay rates are determined by considering multiple factors including qualifications, relevance of experience, education & credentials, subject matter expertise, and internal parity.

Salary Range $151,000—$185,000 USD
