Office Management Specialist (m/f/x) Location: Warsaw Employment: Full-time, Permanent

As an Office Management Specialist, you will play a key role in ensuring the smooth operation of our Poland affiliate, enabling our teams to focus on delivering therapies to patients who need them most.
The Role:
• Ensure efficient day-to-day office operations, including facilities, supplies, and administrative services
• Coordinate travel, meetings, and office logistics
• Manage company fleet and fixed assets
• Oversee expense management, credit cards, and urgent payments
• Execute Source-to-Pay processes (Ariba, invoicing, payment tracking)
• Manage vendor relationships and ensure payment compliance
• Collaborate with external service providers and finance partners
• Support CRM (Veeva) as a local expert and trainer
• Maintain accurate master data (vendors/customers) in MDG
• Oversee contract management and documentation
• Drive process improvements and ensure strong stakeholder communication
Your Skills and Experience:
• Bachelor’s degree in a relevant field
• 5+ years in office or administrative management in an international environment
• Strong MS Office and SAP skills; Ariba, Concur, Veeva are a plus
• Fluent English and Polish
• Highly organized, proactive, and detail-oriented with strong communication skills
