Job Description

As a Distribution Specialist III, you will support critical distribution and materials management operations to ensure the timely and compliant movement of materials, products, and inventory. Working within a cGMP-regulated environment, you will collaborate with cross-functional partners to support operational excellence while maintaining the highest standards of quality, safety, and compliance. The successful candidate will perform a broad range of distribution activities, including inventory management, shipping and receiving, materials handling, documentation review, and issue resolution. This role requires strong attention to detail, sound judgment, and the ability to work effectively in a fast-paced team environment.

Key Responsibilities

• Perform administrative and physical tasks involved in the shipping, receiving, storing, and distribution of Gilead products and inventory.

• Track the movement and handling of materials using computerized inventory management systems.

• Maintain accurate records and documentation associated with distribution activities.

• Process transactions through internal and external systems and troubleshoot issues that may impact business timelines.

• Ensure compliance with Standard Operating Procedures (SOPs), Current Good Manufacturing Practices (cGMPs), and safety requirements.

• Investigate and resolve issues associated with day-to-day distribution activities and take appropriate action to support on-time delivery.

• Coordinate with internal departments to facilitate the efficient movement of products and materials.

• Review incoming and outgoing shipments to ensure compliance with specifications and accompanying documentation.

• Identify, document, and assist in resolving shipment discrepancies and deviations.

• Support warehouse and material handling operations, including packaging, labeling, staging, and movement of materials.

• Perform inventory transactions, cycle counts, and inventory reconciliation activities.

• Support cross-functional teams, including Supply Chain, Manufacturing, and Quality, to meet operational objectives.

• Participate in continuous improvement initiatives and cross-training activities across warehouse operations.

• Perform sampling activities for materials and components as required and escalate deviations when appropriate.

Knowledge, Experience & Skills

• Knowledge of Current Good Manufacturing Practices (cGMPs).

• Ability to recognize deviations from accepted practices and escalate issues appropriately.

• Experience working within a regulated manufacturing, pharmaceutical, biotechnology, or supply chain environment.

• Basic knowledge of inventory management systems and warehouse processes.

• Proficiency with Microsoft Office applications.

• Strong written and verbal communication skills.

• Good organizational and interpersonal skills.

• Ability to work independently while collaborating effectively within a team.

• Ability to prioritize multiple tasks in a fast-paced environment.

• Strong attention to detail and commitment to quality and compliance.

Preferred Qualifications

• High School Diploma and FETAC Level 6 Certificate (or equivalent) + 3+ years of relevant experience in distribution, warehouse, logistics, manufacturing, or supply chain operations

• Bachelor's degree in a relevant field+ Previous experience in distribution, warehouse, logistics, manufacturing, or supply chain operations

• Experience within the pharmaceutical, biotechnology, medical device, or regulated manufacturing industry.

• Familiarity with ERP and warehouse management systems.

• Experience supporting shipping, receiving, inventory control, and materials management operations.

• Knowledge of GMP documentation practices and deviation management processes.
