About the Job The Senior Administrative Assistant will report directly to the Global Head of Scientific Communications, Publications & Medical Education for the Alliance Immunology Franchise. Operating within a complex, global organization, this role provides comprehensive, independent administrative support across a dynamic and fast-paced environment where priorities shift quickly and precision matters.
The ideal candidate brings exceptional organizational ability, strong written and verbal communication skills, and the highest level of discretion in handling confidential information. This role requires someone who is proactive and self-directed - capable of managing multiple concurrent priorities across time zones, engaging with a broad global stakeholder landscape, and delivering seamlessly in support of both the Global Head and the broader team.

Main Responsibilities: Calendar & Travel Management
• Provide comprehensive calendar management across multiple time zones, coordinating complex scheduling for the Global Head and team; arrange domestic and international travel, including multi-city itineraries, and ensure timely and accurate expense reporting in accordance with company policies.
Meeting & Event Coordination
• Plan and execute logistics for internal and external meetings, multi-day workshops, and team-building events, managing all details from venue coordination to materials preparation and follow-up.
Communications & Documentation
• Manage diverse communications including email correspondence, department announcements, presentations, business documents, and internal communications platforms; compile and format materials using MS Office and other corporate systems.
Team Operations Support
• Provide day-to-day operational support to the team, coordinating shared deadlines, managing shared resources, and facilitating onboarding of new team members; maintain team distribution lists, org charts, and SharePoint/intranet resources.
Resource & Vendor Management
• Manage procurement and vendor coordination for team needs, including subscriptions, supplies, and external meeting logistics.
Budget & Finance Support
• Support budget tracking and purchase order processing in close coordination with the finance business partner.
Stakeholder Relations
• Interface professionally with internal staff, senior executives, external partners, and consultants; respond to information inquiries in accordance with established guidelines while maintaining trusted, productive relationships across all levels.
General Operations
• Independently manage special administrative projects and capture non-routine needs in real time; prioritize and execute tasks with minimal direction, tracking due dates to ensure timely completion across all workstreams.
About You Qualifications & Requirements: Experience & Education:
• 5+ years of administrative experience supporting senior leaders, preferably within a global pharmaceutical, biotech, or life sciences organization
• Bachelor's degree or equivalent combination of education and relevant experience preferred
Technical Skills:
• Strong aptitude for embracing and rapidly adopting new technologies, including AI-driven productivity tools, Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams, SharePoint), and other business applications to optimize workflows and enhance decision-making
• Familiarity with travel management systems and expense reporting platforms (e.g., Concur)
• Experience with procurement and purchase order systems a plus
